Terms, conditions and cancellations
These terms and conditions apply to and oblige any student who wishes to participate in the program Basque Culture International Summer School 2024.
Application
Students wishing to register in the program Basque Culture International Summer School 2024 must be over eighteen years old or older.
The applicant should follow the registration procedure which is described in the following section: "How to apply".

Course Registration: Applications will be completed following the order of registration. The deadline for registration is 22 May. For later dates you should contact the Basque Culture International Summer School 2024.

Reservation of Accommodation: Via the Olarain website before 22 May. For later dates you should contact the Basque Culture International Summer School 2024. To complete the reservation, Olarain will ask for a credit card number as a guarantee, although payment will be made at the hotel.

Payment: by credit card through the online form.

Registration requests should be completed via the online request form available on this website. The organisation will be able to accept or deny this request if the necessary requirements have not been met (age, deadline for submitting the request, etc.) agreeing to notify the participant of its resolution. Acceptance or denial of the requests will be notified by email. When a request is presented after the deadline, that is after 22 May 2024, the participant will have to get in contact with the Basque Culture International Summer School 2024.

Cancellations: because of their distinct natures, annulation of the registration and annulation of the accommodation follow different policies, specified as follows:

Annulation of the registration: If a participant wishes to cancel their registration in the Basque Culture International Summer School 2024 program the following norms will apply:

For cancellation requests received before 22 May 2024 the full amount of the registration will be returned with the exception of the 15% to cover administration fees. After that date there will be no refunds.

Outside this situation, registration refunds will only be made as a result of duly accredited serious illness or accident. In this case, there will be the right to reclaim the full amount of the registration with the exception of the 15% for administration fees. Serious illness will be understood as anything that requires hospitalisation or permanent medical attention. The accident should involve physical or psychological limitations in order to be considered as falling under this definition.

Cancellation of accommodation: The cancellation policy stipulated by Olarain:

Cancellation free of charge up to 7 days prior to arrival.

If the reservation is cancelled less than seven (7) days prior to arrival or in the event of a no-show, the amount for one (1) night will be charged to your credit card.

In the event that a participant wishes to cancel their registrationand/or accommodation, they must notify, by e-mail and as much as possible in advance, the Basque Culture International Summer School 2024. It will be the responsibility of the student to contact Olarain to inform about the cancellation of their reservation.
If a participant wishes to modify their accommodation option, they must convey this as soon as possible to the Basque Culture International Summer School 2024. Basque Culture will evaluate the possibility of carrying out the changes requested and notifying the student of its decision.
Cancellations, delays and non-attendance
In order to obtain academic certification there is an obligatory attendance requirement of at least 85% of the classes and activities in the Basque Culture International Summer School 2024 program; failure to do so will result in not receiving academic certification for the hours attended.
Students who arrive late for or miss classes during the course will not receive any refund of the fees. Missed classes will not be made up with additional classes.
The organisation reserves the right to:

Cancel or postpone a course if there is not sufficient registration or owing to circumstances beyond the control of the organisation itself.

Change the programmed visits: the organisation reserves the right to undertake changes in dates or destinations of the initially planned visits due to causes out of its control, and always taking into consideration the safety of students.

Change or modify content, substitute instructors or change the location of the course and/or seminars in developing of our commitment to continual improvement.
The organisation is not responsible for the expenses incurred by the participants or third parties as a result of the cancellation or postponement of a course/seminar, always on the understanding that alternatives are offered to the cancellations or that the postponement falls within the initial calendar of program development. The UPV/EHU and the UPV/EHU Summer School will not accept responsibility deriving from any modification or amendment of course content, location or schedule.
Students' obligations

To join the Basque Culture International Summer School 2024 on the established starting date of the program understanding failure to do so as a renunciation of all rights that would have come into force had they joined on the set date.

To complete and present the documents demanded of them in the form and by the deadlines established.

Buy an appropriate insurance policy and send a copy of this insurance policy to the Basque Culture International Summer School.

To carry out the necessary procedures, before and during their stay, so that their legal status in Spain is appropriate according to that established by existing laws and norms relative to foreign nations staying in national territory.

Any change in accommodation on the part of students must be notified to the Basque Culture International Summer School, and will be the responsibility of the student in question.

Students will be responsible for any damage they cause in the centre and in their respective accommodations.
Further provisions

In the event that any student finds themselves in a situation of supposed risk to their physical or psychological well-being or in an emergency situation, those in charge of the Basque Culture International Summer School, program will be able to take the emergency measures they deem appropriate for the well-being of the student and will inform the contacts indicated in writing on behalf of the student.

The students agree to the use of their name, photograph or any information about their achievements for promotional purposes without express written consent or financial compensation.

Basque Culture International Summer School reserves the right to carry out additions, amendments or modifications to the present terms and conditions in developing our commitment to continual improvement.

The conditions, clauses and rights and obligations linked to activities in the Basque Culture International Summer School, are subject to the jurisdiction of Spanish courts and will be governed by Spanish law.
