Change of doctoral programme
You must submit your admission application to the new Doctoral Programme within the deadlines defined in the pre-registration and enrolment procedure (normally in the month of September). Once you have been accepted on the new programme, you must request official withdrawal from the current programme and then enrol on the new programme.
Application for the cancellation of the enrolment and the return of the money under research grant rejection
Permanence regulations for PhD students regulations establishes that a request can be addressed to the Doctoral School for enrolment cancellation and refund within one month from receiving notification that the grant has been denied. Such request may be submitted by any of the following channels:
- a) At the electronic register of the Administration or Body they are addressing, as well as in any other electronic registers or records of any of the subjects referred to in article 2.1. of the Law 39/2015 of 1 October on the Common Administrative Procedure of Public Administrations.
- b) At any UPV/EHU Registration office.
- c) At Post Offices, in the manner established by regulation.
- d) At Spanish diplomatic posts or consular offices abroad.
- e) At registration assistance offices.
The following information must be included:
- Full name
- ID Nº (DNI)
- Reason for cancelling enrolment and requesting refund of the fees
- Documentation showing grant refusal
- Account Nº into which the refund should be paid
- Date
- Signature
Application to change modality (full-time / part-time) on the doctoral programme
To request a change modality (from full-time to part-time, or viceversa), you must write a request letter to the Academic Commission of the doctoral programme in question. To do so, you may use the forms for this purpose that are available at Forms, and send them by email to the secretary and the person responsible for the programme. As soon as the change is approved, the remaining period in which to present the thesis will be recalculated.
Application for joint thesis supervision
If the teacher requesting co-supervision is not a teacher on the programme, the procedure indicated on the website must be followed, attaching the documents specified therein.

Application for an extension on the doctoral programme
To request an extension, you must write a request letter to the Academic Commission of the doctoral programme in question. To do so, you may use the forms for this purpose that are available at Forms, and send them by email to the secretary and the person responsible for the programme.
Once the Academic Commission has given its approval, where applicable, it will notify the secretary of the programme to update this information on the University’s academic management system (GAUR).
Temporary leave
If you wish to apply for a temporary leave, you must write a request for temporary withdrawal to the Academic Commission of the Doctoral Programme.
In order to do so, fullfil the form "Request to suspend doctoral studies" available on this link: https://www.ehu.eus/en/web/doktoregoa/doctoral-thesis/forms and send it by email to the secretary of your doctoral programme (all contacts on this link).
Once the Academic Commission of the Doctoral Programme has given its approval (where applicable) it will be notified to the secretary of the programme, who will update the student status on GAUR platform.
Application for official withdrawal from the doctoral programme
To request official withdrawal, you must write a request letter to the Academic Commission of the doctoral programme in question. To do so, you may use the forms for this purpose that are available at Forms, and send them by email to the secretary and the person responsible for the programme.
Once the Academic Commission has given its approval, where applicable, it will notify the secretary of the programme to update this information on the University’s academic management system (GAUR).
